How to Set Up Email Auto Replies in Gmail

We have two methods to share with you today. The first method is quick and easy, while the second is a little more complicated it allows you more customization like the ability to automatically send different messages to different groups of people. Method 1: Vacation Responder to Auto Repply in Gmail.

Go to gmail.com in your web browser. Then log in to your gmail account. Click the gear icon in the top right, then choose settings from the menu that appears below.

On the main settings page scroll down all the way to the bottom to find a vacation responder. Click Vacation Responder On. Indicate the first and last dates for the period of time you want auto-replies enabled.
vacation responder gmailThen write your message. We recommend including the dates you’ll be out of the office when you’re returning, who to contact for help in the meantime, and your alternate contact information in case of emergency.

If you don’t want this response sent to everyone, click the box labeled only send a response to people in my contacts. When you’re done click Save Changes.

If you want to turn the vacation responder off, simply go back to your settings, scroll down and click Vacation Responder Off, then click Save Changes.

Method 2: Canned Responses to Auto Repply in Gmail

Now we’ll show you the second method with more features. To begin open your browser and go to Gmail.com. Then sign in to your account. In the top right corner click the gear icon, select settings from the drop down menu.

On the next screen click labs. Scroll down until you see Canned Responses, to the right click enable. at the top of the page click Save Changes.

Now it’s time to write the message you’d like to have automatically sent while you’re on vacation. Create a new email message by clicking Compose, write whatever you would like your response to say.

Once you’ve written your response, click more options at the bottom of the window. from the menu select canned responses, then click new canned response, add a name for this response then click Ok.

You can repeat these steps to create multiple responses if you’d like a different message to be sent to different groups of people. At the top of your screen click the down words arrow inside the search bar.

Fill out the criteria you want to require for an auto-response to be sent. You can indicate specific people or subjects if you want this response to only be sent to certain groups. remember to set the time period that you’ll be out of the office. Now click create filter with this search.

To have your response send automatically, click the box beside send canned response. Then choose the response you’d like to use for this filter. Lastly click Create Filter. repeat these steps to set another canned response to be sent to a different group of people if you need too.

If you decide you want to disable automatic replies, go to settings then select labs. Go to canned responses, then click disable.
